General questions about the website
The AmeCon / AmeChibi website is created and maintained by the AmeCon / AmeChibi Committee. Our aim is to bring you the most accurate and up-to-date information regarding the convention which is accessible to all.
Content can be accessed using the navigation bar near the top of the page. If at any time you would like to return to the home page, click on 'Home' from the navigation menu.
The website is split into sections:
- About: Here you can find the information and details regarding AmeCon / AmeChibi .
- Registration: This where you can create and manage your attendence at AmeCon / AmeChibi
- Venue: Information about the venue and its accommodation
- Get Involved: Application forms for registering as a gopher, events submissions, cosplay event registration, Bring & Buy forms.
While we have tested the website many times over, there's always the chance we've made a mistake or something goes unexpectedly wrong. If you see an error on the website, please contact us on webmaster@amecon.org with details of what page is incorrect or where you're experiencing a problem. Please email us in detail about your issue, including which web browser you are using and operating system so we can perform appropriate testing.
If you are unable to connect to the website, please wait 24 hours before contacting us about the problem. When you cannot connect to the website, 99% of the time it will be a server problem which we are working on. Allow us the time to fix this issue and keep a look out for any updates on our Twitter account. We will announce any server issues and the return of the website through the following social networks.

General questions about the AmeCon/AmeChibi social networking groups
AmeCon / AmeChibi has a number of social networking groups where you can join and enjoy with other people. We are currently available on the following websites:

Users of the website should be aware that our registrations system requires a login to allow you to manage your convention registrations.
If you have any problems with your accounts, please contact webmaster@amecon.org.
The Dealers Room is a large area where many stores sell their goods to the public. All attendees will have access to the dealers room, however due to demand we may only allow so many into the room to prevent overcrowding. It's recommended to bring cash prior to entering the room, especially during peak times when a queuing system is in force, as not all dealers will accept cards. There will be cash points around the event and surrounding area.
Dealers can contact us on dealers@amecon.org if they would like to request a table or for further information.
We are currently finalising the details for the Bring and Buy at AmeCon / AmeChibi and will make an announcement on the website and forum when they are available.
Non-cosplay related events and suggestions
AmeCon / AmeChibi plays host to exciting fan and committee run events during the weekend . All events are open to AmeCon / AmeChibi attendees and scheduling leaflets will be made available during the convention. Note that some events may be of an adult nature and while AmeCon / AmeChibi is an 18+ event, we advise attendees to read up on events before attending them.
We also host many fan-run events and we're open to your proposals for an event. All proposals must be made through our proposal form on the website, however you are free to email events@amecon.org for further information. Please make sure to detail any technical or room requirements necessary for the event.
Cosplay events and guidelines (excluding Cosplay Ball)
Please make sure to check the cosplay section when it's open on the website for further information and guidelines for not just cosplay events, but for cosplay in general. If you would like to suggest an event, contact us at cosplay@amecon.org.
The Cosplay Ball is a formal event that runs at Sunday night on the weekend of the convention. The event includes ball music, guest singers and AMVs to finish the weekend with an amazing night.
As this is a formal event, there is a dress code for those who wish to attend. Further details will be available on the cosplay events page.
Please note that those behaving or dressed inappropriately for the event will be asked to leave. Further action may be taken if necessary.
There will be more details to follow, however if you wish to bring a game to the convention, please contact us for information.
Do not assume that if you bring a game it can be played on the day. Please make sure you have checked with the Games Room Organisers before you do anything.
General questions about membership
Membership to AmeCon includes the following:
- Entry to the convention during Friday 18th August 2023 to Sunday 20th August 2023
- AmeCon 2023 Conbag, which includes your event guide and membership badge
Membership does not include:
- Accommodation
- Food and drink
Payment for AmeCon 2023 must be made via credit or debit card within 7 days of registering via our website.
Membership details can be updated or corrected (but not transferred) by contacting the Registrations Officer at registrations@amecon.org. Please ensure you supply your full name and registration number when requesting changes. Please also note that details such as badge names cannot be changed after 1st August 2023.
Please note that you must be 18 or over on the 18th August 2023 in order to attend.

Online registration and waiting list
Registration to the convention is performed in two stages:
- Online registration
- Convention registration
Online Registration is performed prior to the convention through our website. Once completed, you will have 7 days to complete your payment via Stripe. Failure to do so will result in a cancellation of your registration. However, if you are unable to complete the process in time due to exceptional circumstances, please contact our registrations officer within the 7 day period.
Convention Registration is performed on the weekend of the convention. You are required to have completed online registration and must have one of the acceptable forms of identification listed above under "Acceptable Forms of ID". This process must be completed before access is allowed at the convention.
While we try to accept as many people as possible into the convention, we do have a limit which fills very quickly. Anyone attempting online registration after the limit has been reached will be placed on our Waiting List. Being on this list means that you have taken an interest in attending the convention and will be notified if a position is available. If you have been notified regarding an available position, you will be allowed 7 days to complete Online Registration. Requests to be moved from the waiting list to the membership list are dealt with on a first-come-first-served basis.
Please note that we will contact you via email with your registration details, so please make sure to enter a valid email address and to check your spam filters regularly.
If you have completed Online Registration and wish to cancel your membership, please contact our registrations officer at the earliest available date to arrange a refund of your membership. Please note that there is a £3 cancellation charge applied on all refunds and that you may receive a full or partial refund depending on the date of cancellation, as detailed in our refund policy (see below). Any cancellations from 18th July 2023 onwards for AmeCon 2023 will not receive a refund.
If you are currently on the Waiting List, please contact our Registrations Officer at registrations@amecon.org so we can remove your details.

Availability of Refunds
Registration Fee refunds are available on request from AmeCon. Accommodation refunds may be available through your accommodation provider.
Amount of Refunds
A £3.00 cancellation charge will be charged for refunds.
No refunds will be available within 1 calendar month before the convention or after the convention. For AmeCon 2023 this will be from 18th July 2023.
Full refunds(less £3.00 cancellation charge) will be available within 30 days of initial purchase.
Partial 50% refunds (less £3.00 cancellation charge) will be available until 3 month prior to the event. For AmeCon 2023 this will be from 5th April 2023 to 18th May 2023.
Partial 25% refunds (less £3.00 cancellation charge) will be available until 1 month prior to the event. For AmeCon 2023 this will be from 18th May 2023 till 18th July 2023.
The reasoning for reducing refund amounts closer to AmeCon / AmeChibi is orders of materials that become non-refundable or incur 'order cancellation' fees in the month prior to the convention. Therefore in the event of your requesting a refund your 'part' of these orders must still be paid for.
In the unlikely event of AmeCon / AmeChibi being cancelled an equivalent free membership will be offered when AmeCon / AmeChibi is rearranged. If this is impossible every effort will be made to refund your full registration payment. AmeCon / AmeChibi operates with insurance and our venue hire representing over half our expenses includes a 'no fault' clause should AmeCon / AmeChibi be cancelled due to the actions of the venue.
AmeCon is a not-for-profit company. In the unlikely event of the convention closing at its own fault, refunds will be arranged for all members. AmeCon and AmeChibi are and have always been organised with this worst case scenario in mind.

In the body of the e-mail, you must include your:
- Full name
- Badge name
- Registration ID number
The amount of your refund will be taken from the date of receipt of your e-mail.
Refunds will be issued within 28 days of receiving your refund request. Refunds will be by the same method as original payment.
