General questions about the website

The AmeCon website is created and maintained by the AmeCon Committee. Our aim is to bring you the most accurate and up-to-date information regarding the convention which is accessible to all.

Content can be accessed using the navigation bar near the top of the page. If at any time you would like to return to the home page, click on 'Home' from the navigation menu.

The website is split into sections:

  • About: Here you can find the information and details regarding AmeCon.
  • Registration: This where you can create and manage your attendence at AmeCon
  • Venue: Information about the venue and its accommodation
  • Get Involved: Application forms for registering as a gopher, events submissions, cosplay event registration, Bring & Buy forms.

While we have tested the website many times over, there's always the chance we've made a mistake or something goes unexpectedly wrong. If you see an error on the website, please contact us on with details of what page is incorrect or where you're experiencing a problem. Please email us in detail about your issue, including which web browser you are using and operating system so we can perform appropriate testing.

If you are unable to connect to the website, please wait 24 hours before contacting us about the problem. When you cannot connect to the website, 99% of the time it will be a server problem which we are working on. Allow us the time to fix this issue and keep a look out for any updates on our Twitter account. We will announce any server issues and the return of the website through the following social networks.

General questions about the AmeCon social networking groups

General questions about the AmeCon photo gallery

The AmeCon Photo Gallery is where you can find official photographs from the convention for you to view and comment on. In addition you can also add your own photos to the gallery for others to view, however they must be related to AmeCon or AmeChibi (unrelated photos will be removed from the gallery).

In order to comment and add photographs to the gallery, you will need to create a Flickr account and upload all your photos to their site. While there is no limit to the number of photographs you can add to the group, there may be a limit on the number you can upload depending on your Flickr account.


Subscribing to the AmeCon RSS feed

Subscribing to our RSS feed will allow you to keep updated on any news and announcements we make on the AmeCon website. Simply visit our RSS feed and subscribe to it using your browser, program or service of choice.

Dealers Room

The Dealers Room is a large area where many stores sell their goods to the public. All attendees will have access to the dealers room, however due to demand we may only allow so many into the room to prevent overcrowding. It's recommended to bring cash prior to entering the room, especially during peak times when a queuing system is in force, as not all dealers will accept cards. There will be cash points around the event and surrounding area.

Bring & Buy

We are currently finalising the details for the Bring and Buy at AmeCon and will make an announcement on the website and forum when they are available.


Non-cosplay related events and suggestions

AmeCon provides many events, including guest signings and industry panels. All events are open to AmeCon attendees and scheduling leaflets will be made available during the convention. Note that some events may be of an adult nature and while AmeCon is an 18+ event, we advise attendees to read up on events before attending them.

We also host many fan-run events and we're open to your proposals for an event. All proposals must be made through our proposal form on the website, however you are free to email for further information. Please make sure to detail any technical or room requirements necessary for the event.


Cosplay events and guidelines (excluding Cosplay Ball)

Please make sure to check the cosplay section on the website for further information and guidelines for not just cosplay events, but for cosplay in general. If you would like to suggest an event, contact us at


Cosplay events

Our two main cosplay events are the masquerade and the omake. The masquerade is an opportunity for cosplayers to show off their work on the catwalk, similar to a fashion show. Whereas the omake is similar to a talent show and is composed of skits and performances. Participants to these events are separate from each other and must be registered individually.

You will be asked for the masquerade and omake events to attend a rehearsal session so you are aware of what to do during the event. Further details will be made available at a later date.


Cosplay HQ

Cosplay HQ will be open for people who wish to make adjustments or repairs to their cosplay. Note that while we will supply some equipment to help you, please make sure to bring your own supplies in case the demand for supplies is great.


Cosplay Ball and guidelines

The Cosplay Ball is a formal event that runs at Sunday night on the weekend of the convention. The event includes ball music, guest singers and AMVs to finish the weekend with an amazing night.

As this is a formal event, there is a dress code for those who wish to attend. Further details will be available on the cosplay events page.

Please note that those behaving or dressed inappropriately for the event will be asked to leave. Further action may be taken if necessary. 


Games Room

There will be more details to follow, however if you wish to bring a game to the convention, please contact us for information.

Do not assume that if you bring a game it can be played on the day. Please make sure you have checked with the Games Room Organisers before you do anything.


General questions about membership

Membership to AmeCon includes the following:

  • Entry to the convention during Friday 27th July 2018 to Sunday 29th July 2018
  • AmeCon 2018 Conbag, which includes your event guide and membership badge


Premium membership to AmeCon includes the following:

  • A set of A5 artwork prints
  • Premium Lanyard
  • AmeCon backpack
  • AmeCon T-Shirt
  • Enamel badge
  • Early access to Dealer Room
  • Express registration
  • Reserved seating for the Opening, Closing, Masquerade and Omake (and any other seated major event)
  • Special Meet & Greet event with the AmeCon 2018 guests
  • Premium Badge with foil logo
  • Everything that a regular member will get

Membership (including premium membership) does not include:

  • Accommodation
  • Food and drink

Payment for AmeCon 2018 must be made via credit or debit card within 7 days of registering via our website.

Membership details can be updated or corrected (but not transferred) by contacting the Registrations Officer at Please ensure you supply your full name and registration number when requesting changes. Please also note that details such as badge names cannot be changed after 1st July 2018.

Please note that you must be 18 or over on the weekend of the convention in order to attend.


Acceptable Forms of ID

AmeCon will only accept certain forms of identification:

  • Passport
  • Photocard driving license (full or provisional, photographic card only)
  • CitizenCard
  • Prove It Card
  • Validate UK Card
  • Young Scot Card (the new version with PASS hologram, not the old one)
  • Armed Forces photo identity card
  • EU National Identity Card
  • Other National Identification Card
  • University Student Photo ID Card
  • NUS Photo ID Card
  • Biometric Residency Permit


Your identification card must be valid for the dates of 27th July 2018 to 29th July 2018. There is no exception to this rule and no other forms of identification will be accepted. Use of fake identification may result in being banned from the current and future conventions run by AmeCon.

Please note that AmeCon cannot and will not accept any form of ID that has expired, as it would not be legally valid documentation.

Identification will be required when registering for the convention on the day. Without it, you will not be able to complete your registration to AmeCon and therefore be unable to attend the convention. Staff at the venue may request identification for the purchasing of alcohol, however this is at the venue's discretion.

If you have recently changed your name (e.g. marriage, deed poll) we will accept any supporting documents along with your ID as proof of your name change; however new identification with your recently changed name would be preferred. Online registration and waiting list

Registration to the convention is performed in two stages:

  • Online registration
  • Convention registration

Online Registration is performed prior to the convention through our website. Once completed, you will have 7 days to complete your payment via Stripe. Failure to do so will result in a cancellation of your registration. However, if you are unable to complete the process in time due to exceptional circumstances, please contact our registrations officer within the 7 day period.

Convention Registration is performed on the weekend of the convention. You are required to have completed online registration and must have one of the acceptable forms of identification listed above under "Acceptable Forms of ID". This process must be completed before access is allowed at the convention.

While we try to accept as many people as possible into the convention, we do have a limit which fills very quickly. Anyone attempting online registration after the limit has been reached will be placed on our Waiting List. Being on this list means that you have taken an interest in attending the convention and will be notified if a position is available. If you have been notified regarding an available position, you will be allowed 7 days to complete Online Registration. Requests to be moved from the waiting list to the membership list are dealt with on a first-come-first-served basis.

Please note that we will contact you via email with your registration details, so please make sure to enter a valid email address and to check your spam filters regularly. 


Cancellation of membership

If you have completed Online Registration and wish to cancel your membership, please contact our registrations officer at the earliest available date to arrange a refund of your membership. Please note that there is a £5 administration fee charged on all refunds and that you may receive a full or partial refund depending on the date of cancellation, as detailed in our refund policy (see below). Any cancellations from 1st July 2018 onwards for AmeCon 2018 will not receive a refund.

AmeCon refunds policy

Availability of Refunds

Registration Fee refunds are available on request from AmeCon. Accommodation refunds may be available through your accommodation provider.

Amount of Refunds

A £5.00 administration fee will be charged for refunds.

No refunds will be available in the 28 days before the convention or after the convention. For AmeCon 2018 this will be from 1st July 2018.

Partial refunds (£25.00 less £5.00 admin fee) will be available in the calendar month prior to this. For AmeCon 2018 this will be from 1st June 2018 to 30th June 2018.

Full refunds (less £5.00 admin fee) are available until 1 month and 28 days prior to the convention. For AmeCon 2018 this will be until 31st May 2018.


The reasoning for reducing refund amounts closer to AmeCon is orders of materials that become non-refundable or incur 'order cancellation' fees in the month prior to the convention. Therefore in the event of your requesting a refund your 'part' of these orders must still be paid for.

In the unlikely event of AmeCon being cancelled an equivalent free membership will be offered when AmeCon is rearranged. If this is impossible every effort will be made to refund your full registration payment. AmeCon operates with insurance and our venue hire representing over half our expenses includes a 'no fault' clause should AmeCon be cancelled due to the actions of the venue.

AmeCon is a not-for-profit company. In the unlikely event of the convention closing at its own fault, refunds will be arranged for all members. AmeCon is and has always been organised with this worst case scenario in mind.

The amount of your refund will be taken from the date of receipt of your e-mail.


Receiving your refund

Refunds will be issued within 60 days of receiving your refund request. Typically refunds will be by the same method as original payment.
